Executive Committee Meeting Minutes

The meeting was called to order by Commander Katharine Law at her home at 1907.

Minutes:
The minutes of the 4 April 2005 meeting were considered. Dick
Barck noted that Tom Fota's comments, as stated in the Treasurer's
report (about money donated for a specific purpose), were not properly
reflected. It was moved to amend the minutes as follows: 1)
to delete the word "all" in the sentence reading "Tom Fota
asked if it would be appropriate to put all donations into the Education
Fund" and replace it with "the recent" and 2) to delete
the phrase "we cannot spend the principal and" in the following
sentence. It was moved, seconded and approved to accept the
minutes as amended.
Announcements:
Commander Law noted that the Sail Fleet would be held on May 14th and the
Cruiser Nav Contest would take place on May 21st. The Mission Bay
Beach and Boating Festival will be held on Sunday, May 22nd, and Shaun
McArdle will be coordinating this event. The commander encouraged
people to sign up to staff the booth, which is our event to commemorate
National Safe Boating Week. Posters have also been solicited from
elementary schools. The Sun Road event has been cancelled because
of low participation last year. Dick Barck reported that the marina
would be willing to publicize Vessel Safety Checks through their monthly
mailing, and Ron Weiner will be asked to follow up on that. The general
members' meeting will be held on Friday, May 6th, and people should sign
up on the website so that Nancy will know how many people are coming. Katie
reported that she is going to the National Governing Board meeting in Charlotte,
NC, from June 1st through 5th.
OFFICERS' REPORTS:
Commander Law reported attending the D/28 Inland
Rendezvous, at Katherine Landing, AZ, hosted by the
Phoenix Squadron. She was the only SDSPS member in attendance and
felt rewarded for going since it is a beautiful spot. All four squadrons
were represented. She thanked all who worked The Day at the
Docks. The booth was in a different place than last year, and we did
not appear to get as much foot traffic. Bob Hubbard suggested that
we ask for a spot near the USCGAUX booth next year. The new
banner has been found (!) and was displayed. The form for
the California Franchise Tax Board has been submitted, to correct our failure
to file for several years. The Commander reported that her efforts
to obtain sales tax exemption from the Board of Equalization had come to
naught, and we will have to continue to pay these. A discussion of
deductibility of contributions to SDSPS, a 501(c)(3), followed. We
can deduct cash and in-kind contributions, as well as mileage on squadron
business, the purchase of uniforms and other squadron-related expenses. The
SD Maritime Museum is pleased we will be participating in the Festival
of Sail (an official squadron activity) on August 17th through 21st,
and we will be getting a free T-shirt. A representative of the museum
will be at the GMM on Friday night.
ExO Tom Fota apologized for being late for the Day at
the Docks. (He
was delayed coming back from the Ensenada race, and by the time he got
to the Sport Fishermen's Landing, the booth was already packed up.) He
will coordinate efforts for the Mission Bay Beach and Boating Festival
with Shaun McArdle.
SEO Mike Fontaine reviewed activities in the education
department report. The
Marine Electronics class is ending. Advanced Piloting, which began
in March, is scheduled for the final test on June 5th. Ken
Glaze has three students in his Seamanship course. Cruise Planning class
is completed. (Congratulations to Tom Fota and Nancy Renzi, two ExCom
members who passed it.) Ed Mraz's BoatSmart class has
finished. Bill Bridge will begin teaching Weather on June 13th. Trish
and Dan will start a new Boating class on June 8th at Southwestern Yacht
Club. Mike noted that we still have manuals in stock for the Weather
and Marine Electronics courses, which will help the budget. He got
a catalogue from C-Map and will mention the availability of that, MapTech
and other software at the GMM. Karen Glaze will be teaching the Instructor
Development course beginning June 28th.
AO Nancy Renzi reported that the General Members'
Meeting will take place on Friday evening, May 6th at the Fiddler's
Green Restaurant on Shelter Island. There is no minimum number,
and the whole meal, including tax and tip, will be $25 per person. Bob
Hubbard reported on plans for the D/28 Fall Conference, which SDSPS is
hosting. The
dates are October 7th-8th at the Holiday Inn on Sports Arena Boulevard. Reasonable
room rates have been negotiated, and a hospitality room (equipped with
mini-kitchen) for Friday night's reception has been secured. On
Saturday, the "spouse event" will be Kobe's Swap-meet, which
is within walking distance of the hotel. Saturday night's banquet
will feature cocktails at 6 and dinner at 7, with music (guitar and flute). Katie
noted that we will need lots of help, especially with the lottery, for
which everyone should be assembling prizes. Nancy Renzi volunteered
to donate a week at her home in Maine.
Secretary Barbara Goddard called on Tom Fota for the IT
report. He
has not received any requests from members for the software
for non-profits, but will mention it at the GMM. Dick Barck recommended
that people buy a minimally equipped computer and stock it up
with software purchased through USPS.
Treasurer Trish Carlin reported the squadron's monthly financials, detailing
the asset and liability balances.
Our checking account has increased. She noted that USPS Headquarters
deposited $367 into our account, and with the class revenues, we are in
good financial shape. She has the capacity to check online to see who
has paid annual dues, which are due at the end of May. We traditionally
deal with non-renewals in July. Dick Barck asked if HQ does any follow-up
if no dues are received. Mike Fontaine mentioned that, at the spring
conference, it was stated that there will be a follow-up from HQ. The
consensus of the ExCom was that our follow-up should be deferred until
after that. There was a discussion about our contribution to the
National Education Fund. Trish noted that the criterion for being
on the honor roll is to contribute one dollar ($1) per member. John Isaksen
told her that we have traditionally sent in a $200 contribution, and she
asked whether that was the appropriate amount since our membership is down
significantly. Bob Hubbard moved that we send a $150 contribution
to the National Education Fund, which was seconded by Mike Fontaine. The
motion passed unanimously.
OLD BUSINESS: None.
NEW BUSINESS: Bob Hubbard got an e-mail from Wilson
Leech, requesting information on how to become a member of SDSPS. A
membership application was faxed to him and he has already submitted his
check. Katie asked
if the new graduates of the Boat Smart class had been informed about the
GMM. Mike Fontaine commented that there is now a several months'
lag between the submission of the membership application and new members
getting onto the mailing list. Tom Fota said he has not been getting
the e-mail addresses of new members. Karen Glaze pointed out
that applicants who do not give us their e-mail addresses will not get
onto the roster in a timely fashion. She had a list of four new applicants
and moved to accept these as SDSPS members. The applicants were unanimously
accepted.
The meeting was adjourned at 2013. The next meeting will be held at the
commander's home at 1900 on Monday, 6 June 2005.
